The real cost of ‘unknown assets’: why visibility starts with eliminating waste

IT teams usually know what they think they own, but hidden assets can cost far more than expected. Licences go unused, cloud workloads sit idle, and hardware collects dust while budgets take a hit.

The surprising truth? You can’t achieve true cost visibility until you eliminate waste. Dashboards and asset inventories are helpful, but if you don’t tackle hidden spend first, your reports only tell half the story.

This is where a structured ITAM and FinOps approach comes in. Together, they turn visibility into action, cutting waste before it becomes unnecessary cost.

What are ‘unknown assets’?

Unknown assets are IT resources that exist but aren’t actively tracked or optimised. Examples include:

  • Unused SaaS licences left assigned to employees who’ve moved on
  • Orphaned cloud resources running 24/ 7 with little or no use
  • Shadow IT software deployed outside approved processes

Even small pockets of these unknown assets can add up to significant costs. And because they’re invisible to standard reporting, IT teams often overestimate control and underestimate spend.

Why visibility alone isn’t enough

Many organisations focus on dashboards, reporting, and monitoring. While important, these tools only tell you where money is going today. They don’t:

  • Reclaim unused licences
  • Schedule idle cloud workloads
  • Retire outdated hardware
  • Rationalise redundant software

In short, monitoring without action is like looking at a leaking bucket, you see the water loss, but you don’t plug the holes.

Eliminating waste: The foundation of true visibility

The first step toward accurate IT cost visibility is reducing unknown assets. By cleaning up the estate, organisations create a reliable baseline that enables smarter decisions.

Practical steps to start:

  1. Audit your software licences
    • Identify inactive accounts and redundant subscriptions
    • Consolidate licences where possible
    • Align usage with business needs
  2. Review cloud resources
    • Detect idle or underused VMs, storage, and environments
    • Schedule or decommission as needed
    • Apply automated monitoring to prevent future waste
  3. Assess hardware lifecycle
    • Retire end-of-life devices or repurpose underutilised servers
    • Track energy and maintenance costs associated with idle assets
  4. Strengthen governance
    • Implement tagging, naming, and approval policies
    • Create clear accountability for asset management
    • Establish regular reviews of usage, contracts, and spend

These steps don’t just reduce waste, they lay the groundwork for reliable cost visibility. Once unknown assets are removed or optimised, IT teams can confidently track, forecast, and control spend.

The ITAM + FinOps Connection

  • ITAM identifies unknown or unmanaged assets, providing accurate data on what exists, where, and who is using it.
  • FinOps acts on that information, making cost-conscious decisions like reallocating licences, right-sizing cloud workloads, or renegotiating contracts.

Together, they ensure that visibility doesn’t stop at reporting, it drives tangible savings and optimised IT operations.
