Why good data is the key to smarter IT spend?

Every IT spend conversation eventually comes back to the same question: how confident are we in the numbers we’re working from? Too often, the honest answer is “not very.” Not because anyone is being careless, but because the data behind IT spend decisions is frequently incomplete, outdated, or scattered across too many systems to trust.

Good ITAM and FinOps data isn’t a nice-to-have. It’s the foundation everything else sits on. Without it, even the best intentions around cost control end up guessing rather than deciding. Here’s what good data actually looks like, how poor data quietly costs organisations more than they realise, and what can be done about it without launching a major project.

What good ITAM and FinOps data looks like

Good data isn’t just accurate, it’s usable. That means a few things need to be true at once.

It needs to be complete, covering software, cloud, and hardware assets across the whole estate, not just the parts that are easiest to track. It needs to be current, reflecting what’s actually deployed and consumed today rather than a snapshot from the last audit. And it needs to be connected, so usage data, licence entitlements, and billing information can be viewed together rather than reconciled manually every time a question comes up.

Just as importantly, good data needs an owner. Someone, or some function, has to be accountable for keeping it accurate and for acting on what it shows. Our ITAM and FinOps services are built around exactly this principle: bringing asset, licence, and cost data together into a single, trustworthy view that teams can actually act on.

How poor data quietly inflates budgets

The trouble with bad data is that it rarely announces itself. There’s no single moment where a licensing gap or an unused subscription shows up in bold red text. Instead, the cost builds quietly, in dozens of small ways that only become visible once someone goes looking.

Licences purchased for a project that ended months ago keep renewing because nobody flagged them for review. Cloud resources spun up for testing are never decommissioned, and the bill just keeps arriving. Duplicate tools get bought by different teams because nobody could see what was already in place. And when a compliance review or true-up does happen, gaps in usage records mean organisations either overpay to stay safe or take on risk they didn’t know they were carrying.

None of this is dramatic on its own. But added together across a large estate, poor data can be one of the biggest hidden drivers of IT overspend, and one of the hardest to fix retroactively without the right visibility in place.

Quick tips to improve visibility without big projects

Improving data quality doesn’t have to mean a lengthy transformation programme. There are practical steps that make a real difference on their own.

  • Start with your highest-spend vendors. You don’t need perfect visibility everywhere at once. Focus first on the two or three vendors or platforms that account for the bulk of your spend.
  • Reconcile entitlements against usage regularly, not just at renewal or audit time. Even a quarterly check can catch drift before it compounds. Our Effective Licence Position service is designed to make this kind of reconciliation straightforward.
  • Tag and track cloud resources from day one. Untagged resources are one of the fastest ways cloud costs become untraceable.
  • Bring cost and usage data into one place, even if it starts as a single shared view rather than a fully integrated platform. Visibility compounds once people can actually see it.
  • Review low-usage software on a set cycle. A simple quarterly look at underused licences often uncovers savings faster than any larger initiative.

None of these require a big transformation. They just require consistency, and a clear place to look.

So, how can Phoenix help?

Getting to this point usually isn’t about tooling alone. It’s about having someone who can look across an estate, spot where the data is thin, and help join the dots between usage, licensing, and cost, so that decisions are based on evidence rather than assumption.

That’s the space our ITAM and FinOps team works in day to day: helping organisations build a clearer, more connected view of what they own and what they’re actually using, so the picture holds up over time rather than needing to be rebuilt every audit cycle.

Good data doesn’t remove every IT spend challenge overnight. But it turns guesswork into decisions you can actually stand behind, and that shift alone is often where the real savings start.
