As an Operations Co-Ordinator you will be responsible for operational queries from external and internal sources, Processing Volume Licensing Agreements, Processing Volume Licensing Agreements, Placing purchase orders and Maintain product pricing within internal systems.

The main responsibilities are:

  • Liaising with Microsoft surrounding licensing queries, placing orders, updates on system/process changes
  • To maintain the Operations email box to ensure that all emails are actioned correctly and promptly
  • To handle queries from sales, customers, suppliers and manufacturers
  • Working closely with sales ensuring all orders are correct before processing
  • Completing Volume Licence Agreements with great attention to detail and tracking until these have been signed by the customer and accepted by Microsoft
  • Liaising with Phoenix Customer Service on ETA’s/returns
  • Running reports for our sales team
  • Understanding of purchasing frameworks
  • EA Channel Price Sheet creation
  • Track and monitor CPS requests
  • License reservation reconciliation support
  • Consumption report creation when required.
  • Prepare and update monthly EA/EES renewal reminders
  • Reporting on new Enterprise Agreement activity monthly for EA/EES
  • Complete agreement creation paperwork for Microsoft contracts
  • Manage and provide timely response to Microsoft queries within the team inbox.
  • Communicate product and program updates

Ideally, you will already have:

  • Good knowledge of Microsoft licensing programs
  • Good organisational skills
  • Solid interpersonal and communication skills, both verbal and written
  • Ability to multitask
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Computer literate
  • Ability to prioritise work under pressure, work without supervision and use initiative to ensure that deadlines are met
  • Commitment to see a job through to a successful conclusion
  • A keen eye for detail and accuracy in all aspects of work
  • Effective time management skills with the ability to plan ahead
  • A strong team player
  • A flexible approach to the working day
